INVITATION FOR PROVIDING TRAVEL AND ACCOMMODATION SERVICES FOR THE SEASON 2024-2025
The Kerala Cricket Association (KCA) is pleased to invite proposals from reputed firms/companies for providing comprehensive travel and accommodation services for the domestic season 2024-2025. Companies/firms with a minimum of 5 years of experience and valid licenses in providing these services are encouraged to apply. Our organization requires a reliable and professional service provider to handle all travel and accommodation arrangements for KCA during this period.
Scope of Services:
Air Ticket Booking:
Booking and issuance of international and domestic air tickets.
Handling ticket cancellations, re-bookings, and refunds.
Providing competitive fare options.
Ensuring compliance with KCA’s travel policies and preferred airlines.
Train and Bus Ticket Booking:
Reservation of train and bus tickets for official travel.
Cancellations and refunds.
Accommodation Arrangements:
Arranging accommodation for players, officials, and staff across various locations as per the event schedules.
Ensuring availability of quality hotels or lodging options in accordance with KCA standards.
Managing last-minute changes in booking or cancellations.
Local Transportation:
Providing transportation services, including buses, taxis, and rental vehicles for team and staff travel outside Kerala.
Coordination of airport, railway station, and hotel transfers.
24/7 Customer Support:
Round-the-clock assistance to handle any travel and accommodation-related queries or emergencies.
Regular Reporting:
Providing regular updates and detailed travel reports as required by KCA.
Offering competitive options for each service.
Special Arrangements for Visiting Teams:
The bidder shall be responsible for making travel and accommodation arrangements for visiting teams in accordance with BCCI norms, at the same rates offered to KCA.
Eligibility Criteria:
Established and reputable travel agency with a minimum of 10 years of experience in the industry.
Proven track record in handling corporate and sports travel logistics.
Availability of a dedicated account manager.
Capability to provide round-the-clock support.
Valid licenses and sanctions for providing air ticket booking, accommodation, and local transportation services.
The applicant is required to provide the following details with the proposal:
Name of the Bidder/Firm and complete registered address.
Name, Designation, and Tel. No(s) of the Contact person.
Year of commencement of business.
List of present and past clients.
Details of work for International/Domestic Cricket Matches, if applicable.
Income Tax Returns acknowledgement for the financial years 2021-2022, 2022-2023, and 2023-2024.
Statutory details: (Photocopy duly signed to be attached)
1. Registration No. of the Firm
2. PAN
3. GST Registration No.
4. Name & Address of Bankers along with Bank Account details
5. Whether the applicant is a member or related party to KCA or any of its members/employees
6. Any other relevant information.
7. Ability to offer the maximum possible credit period (in days).
INSTRUCTIONS FOR THE APPLICANT
Incomplete applications will be rejected.
The requirement of KCA is for the current domestic season only.
The applicant shall not be a member of KCA or related party as per conflict-of-interest rules of KCA.
In case of failure to provide services on requested dates, the amount spent on alternative arrangements will be deducted from the bidder’s account.
The agreement may be terminated if any of the terms/conditions are violated.
The travel agency should be approved by appropriate authorities.
The rates shall be applicable for 365 days from the acceptance of quotes.
The management reserves the right to negotiate terms and conditions beyond those mentioned here.
The bidder must ensure that all arrangements are made well in advance to avoid last-minute rushes.
KCA also reserves the right to terminate the agreement without assigning any reason.
KCA will inspect the shortlisted bidders and may carry out inspections periodically during the subsistence of the contract.
The last date for submission of the above Proposal is 15th October 2024 by 05 PM. Kindly submit the proposal in a sealed cover super scribed with the name of the tender “Travel and Accommodation Services” and addressed as below:
